E-mail Guide
Electronic mail is strongly preferred over any other form of communication. Using e-mail is much cheaper and faster when compared to the snail mail, and hassle free unlike the fax and less intrusive than a phone call. Communication is freely passed through the channels because it has no barriers. The time frames, physical distances and environmental factors are not perceived to be as barriers. It’s usage leads to a more egalitarian way of sharing information.
The main reason why so many people use the internet is because of the e-mail. This e-mail guide will help you navigate your way through the internet, even if you are a first time user. It will inform you on everything about this free mode of communicating.
Never 7use caps. Caps lock are hard to read and untidy, and will get rejected if used when logging in your email or entering your password.
When forwarding a mail, copy-paste or cut-paste the message. This will make it easier to view the mail without unearthing layers and tons of irrelevant data before getting to the message itself.
Properly punctuate your work. Unpunctuated work is hard to see and read through. To check for spelling, use your spell checker to avoid typing in and sending work with poor grammar.
Re-read your message before sending. With this you will be able to get rid of unnecessary errors that could have been gotten rid of.
Short hand should not be used. To some people, it may be hard to read and understand. This will make it easier to communicate your message through without misinterpretation.
In attaching a document on to your mail, click on an icon that looks like a paper clip. A dialogue box containing all of your saved work will open. Navigate through the box to the file you want to attach. Right click on it then select. The file is then attached to your mail.
If you receive an attachment, (picture, document, music or video), click on the attachment to download. When downloaded, it will give you an option of opening the document, or saving it.
You have to be sure that the document does not contain a virus before saving it.
To make the sending of an e-mail easier, make a short cut on your computer’s desktop. If you want to send or view your mails, double click on the short cut and a new message will open.
If you want to make a hardcopy of your mail, select the area you want to print out, select print on the file menu, highlight on selection from the print dialog box that appears, and then click ok. Some computers do not support this application. If yours is one of them, copy-paste the message to a word document, then print.
How do you go by searching a single, mail out of thousands? Simple. Instead of going through each one of them, search for it. Type in the keywords of the mail. Click on the edit menu, highlight on find, then message. If you remember the folder in which the message was in, select ‘search for items in’, if not, ‘local mail’. Type in the keyword then click on the search button.
